Roles & Responsibilities

What each role can do in our Probus web app. Tap a role to see its features.

Members

Purpose: Join club activities and stay informed.

  • View upcoming activities and events in the Event Calendar
  • See full details: time, place, description, any costs
  • Register or unregister with one click
  • Add an event to your personal calendar (Outlook, Google, Apple)
  • See how many people are going
  • Check in on the day using your phone
  • Receive update emails if details change
  • Find Contacts, Activity Leaders and Committee Members
  • Find contact details for other Members
  • Edit your membership profile
Activity Leaders

Purpose: Create and manage activities and look after attendees.

  • Create and update activities/events (title, date/time, location, description)
  • Activities appear automatically in the Event Calendar
  • See who has registered for your activities
  • Manage attendance: mark present/absent/guest
  • Adjust capacity when needed
  • Receive automatic emails when members register
  • Send update emails to all registrants (time/venue changes, notes)
  • Export or print an attendance list

Leaders work mainly in My Activities and My Activity Attendance. Changes flow straight to the Event Calendar.

Committee Members

Purpose: Provide oversight and support across club activities.

  • View all activities and events across the club
  • See registration and attendance trends
  • Assist Activity Leaders when needed (update details, view lists)
  • Monitor member communications and updates
  • Support membership management and club information pages
  • Find Contacts, Activity Leaders and Committee Members
  • Oversee membership records and club-wide notices

Officer Roles

Specific responsibilities held by committee officers.

Membership Officer

Purpose: Keep member records accurate and up to date.

  • Update member profiles (contact details, status, interests)
  • Approve new members and manage changes
  • Export member lists for newsletters or reports
  • Help ensure privacy and access are appropriate
  • Provides a current membership roll for the committee
  • Helps deliver the right messages to the right people
Treasurer

Purpose: Support financial records for paid activities (if used).

  • View attendance lists to reconcile paid events
  • Export participation data for accounting
  • Check registrations for fee tracking
  • Quicker reconciliation against bank statements
Secretary / Communications

Purpose: Keep members informed and records accessible.

  • Send club‑wide announcements and updates
  • Upload minutes, documents, notices
  • Oversee Helpdesk enquiries
  • Clear, consistent communication to members
Newsletter Editor

Purpose: Publish the monthly newsletter.

  • Compile items from activities and member updates
  • Produce online newsletter (public and/or members‑only)
  • Share via email
  • Faster production using existing event content
